Covid-19

We are keeping our fingers crossed that we will be able to run summer camps at York Sport for 2021 and the York Sport team is working hard to ensure the camps will run as safely as possible and in accordance with government guidelines.
Our priority will remain the welfare of our children, staff team and the wider community. We are therefore taking the necessary precautions and putting in place some additional measures to ensure the safe running of our camps.
We are:

  • Testing staff regularly whilst they are working on camp.
  • Continuing, as always, to follow stringent hygiene practices during the camps. To assist us with this we encourage you to ensure your child is aware of the importance of this and the basic practices of the ‘catch it, bin it, kill it’ campaign.
  • Following PHE guidance to ensure that any staff, parents and campers who have travelled to affected regions and/or have been exposed to the virus do not attend camp.
  • Increasing our staff training around health and hygiene practices and our internal policy regarding COVID-19. We are also supplying each camp with increased amounts of hand wash, hand sanitiser, and tissues.
  • Working closely with our host venues to ensure a strict handover process surrounding the cleanliness of the venue.
  • In the run-up to camp, we ask that if you have travelled to any affected regions or if have been exposed to the virus to please contact us immediately to discuss your booking. In the event that we are forced to close due to the Coronavirus outbreak, we will inform all parents immediately by email with as much notice as possible. In the event of a cancellation of our programmes beyond our control, we reserve the right to review and amend our cancellation policy.

  • How are you adapting to Covid-19?

We are keeping our fingers crossed that we will be able to run our summer camps at York Sport for 2021 and the York Sport team is working hard to ensure the camps will be run as safely as possible and in accordance with government guidelines.

    Changes we have made include:

    – We will be checking the temperature of all campers on arrival. Any children with a temperature over 37.5 will unfortunately not be allowed to attend camp.

    – We will follow up-to-date guidance regarding and if required children will be ‘bubbled’ into groups and will remain in the same group throughout the week.

    – We will follow Government guidance regarding the wearing of masks.

    – We are continuing as always to follow stringent hygiene practices and we ask that you ensure your child is aware of the ‘catch it, kill it, bin it’ campaign.

    – We will ensure camps are fully supplied with hand sanitiser, hand wash and tissues.

    – We are increasing our staff training around health and hygiene practices.

    – In the event of any of our campers showing signs of Covid-19 symptoms, we will follow NHS advice.

  • Do you check temperatures on arrival?

Yes, we do. All temperatures will be checked upon arrival at all of our sites (with a temperature gun). Any children with a temperature over 37.5°C will unfortunately not be allowed to attend camp. You can check temperatures at home before coming to camp as long as you are able to provide proof.

  • What is the cancellation policy?

We require 7-days notice for a full refund and a minimum of 48-hours notice for your booking to be moved to an alternative date / credit on account for future camps.

If you need to cancel due to illness, we will require a doctor’s note to issue credit.

Cancellations due to Covid positive tests or due to needing to isolate will be given in full.

  • Where will the camp take place?

The camp will take place across two venues:

    Mondays, Tuesdays, Thursdays and Fridays:

York Sports Centre (the one with the athletics track!)

    James Way

    Heslington

    York

    YO10 5NA

    Wednesdays:

York Sports Village (the one with the pool!)

    Lakeside Way

    Heslington

    York

    YO10 5FG

  • Parking

Parking is available at the Centre but is pay and display. Please note this is closely monitored so please do not leave your car for any length of time without a ticket.

Parking is available at the Village free of charge.

  • Late pick-up charge

We don’t like to do this but unfortunately due to the staffing costs and the need for two members of staff to stay late, we have to charge under all circumstances for late pick-ups at a cost of £10 for every 15 minutes or part thereof. For example – if you are 20 minutes late a charge of £20 will be made. This will be due to be paid on arrival to reception.

  • Can my child walk home on their own?

We would prefer ALL children to be collected from camp. If you wish your child to make their own way home, this would only be agreed in exceptional circumstances, dependent on their age and with written permission.

  • Emergency Contact Numbers

If you need to contact camp please call reception on:

York Sports Centre (Mon, Tues, Thurs & Fri) 01904 325 751

    York Sports Village (Weds) 01904 325 751

In an emergency, please call the Camp Leaders Mobile which will be made available before the camp.

  • Can I see your policies and procedures?

All policies and procedures are updated regularly. They can be viewed on request. Please contact Head Office. Policies and procedures are in place for the following:

    First Aid

    Photographs and Media

    Risk Assessments

    Safeguarding

    Accidents and First Aid

    Behaviour Management

    Code of Conduct

    Medication

    Lost Property

    Mobile Phone Policy

  • What group will my child be in?

Children are grouped according to their age. Each group will have a dedicated group leader who will be their main point of contact for the week. Activities will be led by different coaches.

  • Can my child be in the same group as their friend?

Absolutely! As long as they are of a similar age and both request to be with each other. On the other hand, please do not worry if they are attending camp on their own or if their sibling is in a different group – our coaches have many years’ experience and will always encourage children to get involved from the very start – which builds their confidence and helps friendships develop very quickly.

  • What qualifications do the coaches hold?

All our coaches are fully qualified to at least a level 1 with the lead coaches qualified to Level 2. All are enhanced DBS checked and we will always have one first aider on site.

  • Medical Conditions

We have already asked you have any medical conditions or special requirements the children may have but if you think there is anything else you need to tell us please let us know by email in advance of the camp and inform the camp leader on the day.

If your child needs to take medication please make sure they have a letter signed by you, with explanation of how and when this needs to be administered. We can only administer prescribed medication which has been agreed in advance in writing.

Any medications should be handed to the Camp Manager and should not be stored with the child’s personal belongings. In the event of an accident, first aid will be administered to all children in our care and the emergency services will be called if necessary unless stated otherwise during the registration process.

  • Photographs and recordings

During the camp we will take photographs and video recordings to share with you during the week on social media and for future marketing purposes. If you do not wish your child to be photographed or recorded please let us know by email in advance of the camp and also inform the camp leader on the first day of camp.

  • What to wear and what to bring

    Every Day

    – A refillable water bottle (full to start)

    – A healthy lunch and two snacks for morning and afternoon break (no nuts please)

    – Wear clothes suitable for playing lots of sport including trainers

    – Waterproof clothes, warm layers, sun hat (we will go outside in most weather so please be prepared for all weather)

    – Applied sun cream – Please apply a high factor sun protection cream to your child before they attend camp. During Summer we recommend that your child brings this with them to re-apply throughout the day, our coaches will remind the children at break times and lunchtimes.

    – Please label your kit and your bag.

    Wednesdays

    – All the above plus swimming kit, goggles and a towel

    – Optional: Bikes and Scooters. Please ensure you bring a helmet with you.

  • What not to bring

    – Electronic equipment including phones, iPads, games consoles. If phones or other similar equipment are brought onto camp they must remain in the child’s bag and we cannot be held responsible for anything going missing or damaged.

    – Anything valuable including watches and jewellery.

  • Lunch and Snacks

All children need to bring a healthy packed lunch with extra snacks for break times and a water bottle. As we cannot keep all children’s lunches cool until they are eaten, we do recommend adding an ice pack in the lunchbox to ensure contents are kept fresh until lunchtime.

***Please note we are a nut-free camp, so please ensure children don’t bring any food containing nuts or not products. Thank you.

Lunchtime and breaks are fully supervised.

  • Can I stay and watch my child during camp?

We cannot allow any adults to remain on site during camp. We have a responsibility to every child to ensure that the only adults present are Enhanced DBS checked and part of our organisation. You are more than welcome to chat to the coaches at the end of the session and ask for feedback on your child.

  • What will we do on camp?

During the camp, children will take part in a wide range of different sports and activities throughout the week. Exact timetables are not available to view as we are always adding to and adapting the specifics, but a typical day will include at least 2-3 different sports, energy games and chill out time / crafts.

Typical activities will include athletics, tennis, assault courses, football, rounders, swimming, team challenges, hockey and frisbee.

  • What happens in bad weather?

Sadly, we cannot guarantee sunshine! However, we will have indoor facilities on most days. In the case of exceptionally bad weather on our Wednesdays at the Sports Village we may look to relocate to the Sports Centre where indoor facilities are available. Parents will be informed. Please however, ensure children have appropriate clothing for all weather on each day as we know how quickly the weather can change!
